Outlook - Setting up TAMU Gmail in Office 365 Outlook

Overview

The Outlook app for Windows and Mac can be used to check your Texas A&M Gmail account.  First, follow the instructions on setting up your Gmail Account Settings to allow accessing your Texas A&M Gmail account from other clients, then follow the configuration settings depending on your client.

 

Configure Outlook Using G Suite Sync for Microsoft Outlook

The G Suite Sync for Microsoft Outlook is the preferred method of configuring Microsoft Outlook to work with Texas A&M Google email accounts.

  1. Visit https://tools.google.com/dlpage/gappssync and download the G Suite Sync utility. 

  2. Once downloaded, start up the application.
  3. Enter your @tamu.edu email address in the following prompt. You will also be asked for your NetID password.

  4. On the page that appears, click on Allow. 

  5. Click on Create Profile.


    Note: If you do not see this pop up, it is likely because you are still viewing the Google web page that you were taken to in step 4. Use your task bar to go back to the G Suite Sync application.
  6. At this point, your Texas A&M Gmail account is now set up in Outlook. The following window will keep track of the synchronization process of your account to outlook. You may click on Close and the process should still be running in the background. 

 

Gmail Account Settings

1. Sign into your TAMU Gmail account at http://mail.google.tamu.edu/

 

2. From your inbox, select the gear icon on the top right corner.

 

3. From the side menu that opens, select the "See all settings" option.

 

4. From the settings page, select the "Forwarding and POP/IMAP" tab.

 

5. Under "IMAP access" select the option that says "Enable IMAP"

 

6. Select "Save changes" at the bottom of the page

 

7. Navigate back into the page by selecting the gear icon, see all settings, forwarding and POP/IMAP, and verify that it now says "Status: IMAP is enabled"

 

Windows Configuration

1. Either launch Outlook for the first time, or select File then "Add Account"

2. On the pop-up window, enter your email address as yourNetID@tamu.edu. Select "Advanced options." Then select the checkbox next to "Let me set up my account manually."

 

3. Select "Connect"

4. In the "Advanced setup" window that pops up, select "Google"

 

5. In the "IMAP Account Settings" window that pops up, fill out the following information:

a. Incoming mail

i. Server: imap.gmail.com

ii. Port: 993

iii. Encryption method: SSL/TLS

iv. Do not check the "Require logon using Secure Password Authentication (SAP)"

a. Outgoing mail

i. Server: smtp.gmail.com

ii. Port: 465

iii. Encryption method: SSL/TLS

iv. Do not check the "Require logon using Secure Password Authentication (SAP)"

 

6. Select Next.

 

7. On the next window that pops up, type in your NetID Password. (The password to use when you sign into other Texas A&M services, such as Howdy). Select Connect.

 

8. A central authentication service window should now pop up. Sign in with your NetID and password. Select Next.

 

9. Authenticate with Duo using your preferred method.

 

10. There will now be a Google window that comes up. It is to verify if you want to let Microsoft apps & services to access your account. Scroll to the bottom of this and select "Allow."

 

11. Outlook should now let you know that your account has successfully been added. Select "Done."

 

12. Over the next few moments your inbox will sync to Outlook. You may see a Microsoft Outlook Test Message at the top of your inbox. This is just Outlook verifying it setup successfully. You can verify that your folders and emails match what should be there by navigating back to http://mail.google.tamu.edu/ and double checking both inboxes match. You may also try sending a test message to yourself to ensure it reflects in both inboxes.

 

MacOS Configuration

1. Either launch Outlook for the first time, or select file, preferences, accounts, and the + button or the "Add Email Account" option. It may also pop up that they found an email account depending on if you've signed in to other Office 365 apps, so you can select that "Add yourNetID@tamu.edu" option as well.

 

2. If it asks you to verify your license for Outlook, you'll sign in similar to the process of signing in to http://office365.tamu.edu/ to activate the application.

 

3. When you add an account, it'll initially try to set it up as a Office 365 account. Close out of the pop up that looks like the Office 365 login and select "Not Office 365?"

 

4. In the "Choose the provider for yourNetID@tamu.edu" pop up, select "Google."

 

5. You'll get another pop up that your browser has been opened. Leave this pop up open and navigate to the open browser window. With will have a Central Authentication Service page open, sign in with your NetID and Password on this page.

 

6. Authenticate with Duo using your preferred method.

 

7. There will now be a Google page that comes up. It is to verify if you want to let Microsoft apps & services to access your account. Scroll to the bottom of this and select "Allow."

 

8. It will now redirect back to Microsoft Outlook. Press allow to let the page do this.

 

9. Outlook will now have a pop up that says "Google account has been added." Select the personalize now to choose your personalized inbox settings.

 

10. Over the next few moments your inbox will sync to Outlook. You can verify that your folders and emails match what should be there by navigating back to http://mail.google.tamu.edu/ and double checking both inboxes match. You may also try sending a test message to yourself to ensure it reflects in both inboxes.
