Overview

The Texas A&M Technology Services Project Management Office uses a four-part methodology consisting of Initiating, Planning, Managing, and Closeout phases.

 

Initiating

In this stage, the methodology shall address:

  • Initiate project request by entering a Demand
    • Perform Sizing/Scoping using the Texas A&M Technology Services Project Complexity Chart
    • Preparation of a project charter. Charters shall address all of the following topics at a high level:
      •  Name of the project sponsor and any executive sponsors
      •  Stakeholders
      •  Objectives
        • What are we trying to achieve?
        • Why is this important?
    • What are we trying to achieve?
    • Why is this important?
      • Scope
        • What are we going to do?
        • What is explicitly not going to be included?
    • What are we going to do?
    • What is explicitly not going to be included?
      • Rough Schedule and budget
      • Risks
      • Constraints
    • Project is prioritized and created
    • Schedule a Kick-off Meeting

 

Planning

In this stage, the methodology shall address:

  • Finalize Project Charter:
    • Project Purpose
    • Project Timeline
    • Deliverables:
      • Project Objectives
    • Project Value
    • Estimated Work Effort
    • Approval by Sponsor and Key Stakeholders
  • Create Roles and Responsibilities (RACI) Documentation
    • Identify Specific Resources for each Required Skill Set
    • Identify Other Resource Requirements
    • Schedule a recurring time and location for the project team meeting
  • Create Project Work Schedule
  • Create Risk Management Plan
    • Risk Register
      • What can go wrong?
      • How will we prevent it or respond if it happens?
  • Create Project Communications Management Plan
  • Create Procurement Management Plan
  • Create the Other Project Documents Needed
    • Issues Log
    • Decisions Log
    • Change Management Plan/Log
    • Status Report
    • Executive Status Report
    • Agenda for Meetings
    • Meetings

 

Managing (Execution and Controlling)

In this stage, the methodology shall address:

  • Manage Scope
  • Manage Schedule
  • Manage Issues
  • Manage Communications
  • Manage Cost
  • Manage Risk
  • Manage Quality

 

Closeout

In this stage, methodologies shall address:

  • Prepare Project Closure Document
  • Conduct Final Project Closure Meeting
  • Project Documentation Archiving
