Description

The following article contains instructions on how to get the list of email addresses from an Exchange distribution group onto a CSV file.

Procedure

1. Open a new email message in Outlook

2. Type the distribution group email address in the To field

3. Click the + sign to expand the group into individual names

4. Select all of the names that have been expanded, and copy them to the clipboard (Ctrl+C or right-click and copy)

5. Open a new workbook in Excel

6. Paste the text from the clipboard into cell A1 (Ctrl+V or right-click and paste.) All names and email addresses will be in a single cell

7. With the cell highlighted, click the Data tab and then Text to Columns.

8. In the popup window, click Delimited and then Next.

9. Make sure that only Semicolon is selected in the Delimiters box and click Next. Note the preview of the data separation at the bottom of the window.

10. Change the Column data format to Text and click Finish. All contacts are now in separate columns.

11. In the Home tab, click Find & Select and then Replace.

12. Type *< in the Find what field, and leave the Replace with field blank, then click Replace All. You will get a confirmation message noting how many replacements were made

13. Type > in the Find what field, and leave the Replace with field blank, then click Replace All

14. Select the entire row of data and copy it to the clipboard

15. Right-click in cell A3 and choose Paste-Transpose 

16. Delete row 1 (the original pasted text)

17. Type Email in cell A1 You should have a single column of only email addresses with Email as the header

18. Save the Excel worksheet as a file type CSV (Comma delimited). This is the file you will upload to Qualtrics

19. Click OK and Yes when prompted
