How Employee Location (Emp Loc) is Derived

Overview

The Employee Location (Emp Loc or Emp Location) field is not stored in Workday. Instead, it is derived through integrations between Workday, FAMIS, and DataWarehouse. This article explains how the emp loc value is determined and what to do if access needs to be overridden.

How It Works
  • Administrative Location (Adloc)

    • Each Workday supervisory organization has an Adloc, represented by a code on the supervisory org screen.
    • Every position is assigned to a supervisory org.
    • An employee’s primary Adloc comes from their primary position.
  • Employee Location for Non-Managers

    • If the employee does not supervise anyone, their employee location = Adloc.
  • Employee Location for Managers

    • If the employee’s primary PIN manages other employees (i.e., they are the manager of a supervisory org with employees), the following process applies:
      • Identify the organization that contains the most employees managed by this person.
      • Assign the Adloc of that organization as the employee location of the manager.
      • Note: This process does not always produce the desired result.

Access Overrides

If an employee needs access to an org or department outside of their employee location, the FAMIS Security Administrators (accesshelp@tamu.edu) for that member can override access using:

  • ZZS Screen 28
    • Granting access through ZZS Screen 28 is not automatically updated.
    • Overrides must be tracked and maintained manually by the system member.

Key Points
  • Emp loc is derived, not manually entered in Workday.
  • It depends on Adloc, supervisory org structure, and whether the employee manages others.
  • Overrides require manual maintenance in FAMIS.
