Summary

Graduating student employees can only be paid from fall work study funds through December 6, 2025; after that, they must be moved to departmental funds. Students enrolled for Spring 2026 may continue using work study funds starting December 7.

End of Semester Work Study Reminders for December 2025

December 6, 2025, is the last day student employees graduating in December 2025 can be paid from work study funds. Work Study Student employees who will not be enrolled in Spring 2026 may not earn work study funds past December 6.

In order to ensure this, pay period 8 is the last pay period in which a student may be paid from fall work study funds.

  • Beginning with pay period 9, Fall-only work study students must be paid from departmental funds.
  • Paul Schafer, Work Study Coordinator, will communicate with departments after pay period 9 regarding student employees who may require payroll corrections. 
  • HR Generalists will need to complete the Change Job business process to remove Fall-only work study students from the work study job profile.

Work study students who will be enrolled for the Spring 2026 term are not affected.  They can continue to be paid from work study funds for time worked between semesters. Spring work study funds can be utilized beginning December 7, 2025.

  • If you have a student that has not been awarded work study funding, please email workstudy@tamu.edu with the students’ name and UIN. Paul Schafer will verify work study eligibility.

Special Note for Placement in Temporary/Casual Positions: 

If certain criteria are met, employees in a student status (graduate or undergraduate level) may be temporarily placed in a temporary/casual position without posting per Guidance Document: Recruiting and Selection of Non-Faculty Positions, Each component must be met: 

  • The student employee can no longer be employed in a student title due to graduation or other circumstances that prevent a student title from continuing to be used, AND 

  • The employing department has a business need to continue the former student’s employment in the same capacity without a break in service, AND 

  • The employment is in a temporary/casual position not to exceed duration of 4.5 months (no matter the hours worked), usually within the same fiscal year. 

Special Note – International Student Workers or Graduate Assistants with an I-20 or DS-2019 must provide updated work authorizations to be placed in a temporary/casual position without posting.

Supervisors of student employees should work with their respective HR Service Center to initiate the Change Job business process in Workday.
