TrainTraq Course Information Form

  • This form is for use by course owners to submit a request to System Training to assist with adding a new course listing to TrainTraq.  All forms fields are required unless indicated as optional.
*Note:  A course should be private only if it is so specific to your workstation's processes that it is unhelpful to anyone outside of your workstation OR when the training course was purchased from a vendor as an individual site license that prevents you from sharing the course Systemwide.

TrainTraq Course Type

  • In Classroom (Legacy): This course type is used to designate courses that are presented in a live classroom setting. When an employee completes an In Classroom (Legacy) course, the instructor or other designated processor will upload a batch completion file to add a completion record to the employee’s transcript.
     
  • Online External*: This course type is used to designate online courses that are not hosted within TrainTraq. For example, courses that launch directly to an external website where the content is housed. Depending on the actual setup, Online External courses may or may not automatically record completions in TrainTraq. Before you create a new Online External course in the course catalog, it is important to address how course completions will be added to TrainTraq—by manual entry or through TrainTraq’s web service.
     
  • Online SCORM*: This course type is used to designate online courses that are SCORM-compliant. Before you create a new online SCORM course in the course catalog, the course must be properly tested in the TrainTraq test environment to ensure that the course is properly communicating with the system.
     
  • Other: Any course that would not fit the above descriptions. For example, a retired online course not often used. This is rarely used.

    *Online courses in TrainTraq are potentially accessible by a wide audience. As a best practice, before adding a new course to TrainTraq, we recommend that you do the following:

    1. Make sure that you have permission to use any text, images, audio, and video content obtained from outside sources.

    2. Obtain approval from the department at your university or agency that has primary responsibility for the subject matter. For example, if you will be adding a course on a safety-related topic, you should obtain approval from your Risk Management/Safety office.
