Employee Payroll FAQs

Overview

This article answers common employee questions regarding pay dates, payslips, payroll questions, retroactive pay adjustments, time off corrections, and compensatory time elections in Workday.

Steps

Where can I find upcoming biweekly or monthly pay dates?

Current pay dates are available on the Pay Dates, Pay Schedules, and Calendars webpage.

Monthly employees are paid for the current month on the first working day of the following month. If a bank holiday falls on that day, payday moves to the next business day.

Eligible longevity pay, hazardous duty pay, and recurring allowances are included as applicable.

Biweekly employees are paid for the previous two-week work period on the following Friday. If a bank holiday falls on a scheduled payday, the pay date is adjusted accordingly.

Recurring allowances for eligible employees are issued on the first biweekly pay date of each month.

The Biweekly Pay Schedule includes:

  • Pay period numbers
  • From and through dates
  • Timesheet due dates
  • Pay dates
  • Indicators for longevity and hazardous duty pay periods

The FY27-at-a-Glance resource can also help employees and managers meet timesheet deadlines.

When will my payslip be available in Workday?

  • Biweekly employees: Payslips are available 1 calendar day before payday.
  • Monthly employees: Payslips are available 5 calendar days before payday.

How do I view or print my payslip?

Payslips can be viewed or printed through the Benefits and Pay Hub in Workday using a desktop or mobile device.

For instructions, see the Reading Your Workday Payslip Reference Guide.

If you have questions about a specific payslip, contact the HR Professional supporting your department, college, or agency.

Who should I contact about pay discrepancies, missed wages, or extra pay?

Do not contact Payroll directly.

Your first point of contact should be your direct supervisor. Your supervisor will work with the appropriate HR Professional. If additional assistance is required, the HR Professional will work with Payroll on your behalf.

How do I request or correct time off in Workday?

Employees may request paid or unpaid time off at any time. Refer to the Managing Your Absence job aid for instructions.

Time off can only be requested for the current and prior fiscal year. Contact your Absence Partner for adjustments needed before the prior fiscal year.

Monthly Employees

Paid Time Off

  • Retroactive corrections do not change pay.
  • A Base Pay line with a zero-dollar amount may appear on the payslip.

Unpaid Time Off

  • Workday will recover prior overpayments from current salary.
  • A negative Base Pay adjustment will appear on the payslip.
  • If salary cannot cover the overpayment, an HR Professional will provide repayment instructions.

Biweekly Employees

If regular hours were previously paid and must be changed to time off, update and resubmit the affected timesheet before the payroll retro deadline.

Contact your supporting HR Professional for assistance.

Paid Time Off

  • Retroactive corrections may increase earnings.
  • Additional earnings lines may appear on the payslip.

Unpaid Time Off

  • Prior overpayments will be recovered through payroll.
  • Negative earnings adjustments may appear on the payslip.
  • If pay is insufficient to recover the overpayment, an HR Professional will provide repayment instructions.

Note: Unpaid time off must be submitted through the Request Absence process. Paid time off may be entered through either Request Absence process or directly within a timesheet.

Why do items from previous pay periods appear on my current payslip?

Workday's retroactive payroll process identifies adjustments related to:

  • Time off corrections
  • Timesheet corrections
  • Retroactive rate changes
  • Other corrective business processes

Positive Adjustments may increase earnings and appear as additional earning lines.

Negative Adjustments recover prior overpayments and appear as negative earnings lines.

Monthly Employees

  • Positive Adjustments: Retroactive pay rate changes, annual work period adjustments, late one-time payments, or converting unpaid leave to paid leave.
  • Zero Adjustment: Corrective actions that do not change earnings.
  • Negative Adjustments: Overpayments caused by retroactive terminations, unpaid leave corrections, or delayed data updates.

Biweekly Employees

  • Positive Adjustments: Additional earnings from timesheet corrections, rate changes, late one-time payments, or converting unpaid leave to paid leave.
  • Zero Adjustment: Corrective actions that do not change earnings.
  • Negative Adjustments: Recovery of overpayments caused by negative timesheet corrections, unpaid leave adjustments, or delayed data updates.

How can I change overtime from banked compensatory time to paid overtime?

Refer to the Edit Other IDs job aid.

Within the Additional Resources section, review the guidance for adding or updating FLSA and/or State Comp Time Other ID information.

NOTE: Employees will need assistance from their supporting HR Professional to complete this change.
