Adding a Newborn to Insurance Coverage: Attention New Parents!

Overview

Congratulations on the newest addition to your family!  If you are planning to add your baby to health insurance through Texas A&M, you need to complete the Workday process WITHIN 31 DAYS of the birth.  You can add your child to coverage prior to receiving a birth certificate using the verification of birth facts.

There are three steps to adding your baby to health benefits through TAMU.

Step 1:  Set up your new dependent in Workday  ​
  • Access the Dependents section in Workday.
  • Click the Add button.

  • Workday will prompt you for the demographic information needed to add your dependent and click Submit.

Step 2:  Initiate a Birth/Adoption event in Workday.
  • Access the Change Benefits task in Workday.
  • In the Change Reason field, select Birth/Adoption.

  • Enter in the Birth/Adoption Date:

  • Click the Submit button at the bottom of the task.

  • This will generate a Change Benefit Elections task in your Workday Inbox.  You will open the task and click Let's Get Started.

Review/Update your Health Information and Spouse/Domestic Partner Health Information answers and click Continue.  You will see a confirmation that your information is updated, click Continue in order to now confirm/update your benefits.  This is where you attach your dependent to what plans you would like them to be on (medical, dental, vision, life, etc.).  Be sure to click Manage on any coverage you wish to add your dependent to.  You'll then select Confirm and Continue and then see the option to select your new dependent on the next page.

After you have added your child to your selected coverage, select Review and Sign at the bottom of the task in Workday.

Step 3:  Upload Dependent Verification Documentation to HR Connect Legacy

Step 3:  Upload your dependent verification documentation to HR Connect Legacy.  HR Connect Legacy (A selection on your SSO Menu) is a secure portal for you to upload the birth certificate or Verification of Birth Facts, which should be one of the documents sent home with you from the hospital.  If this is an adoption, upload the court signed adoption paperwork.

  • Select Upload Documents button in HR Connect Legacy.

  • Select Dependent Verification under Document Category, then select the appropriate Document Type, and then click Browse to locate the document on your device.

  • Click Submit Document to upload your file securely.

Important Information
