1Password - Creating, Sharing, and Managing Vaults

Overview

There are two types of Vaults in your 1Password TAMU account: Personal Vaults and Shared Vaults. Personal Vaults are for information that only you should have access to. Shared Vaults are for information that needs to be shared with others.

Personal Vaults

Your 1Password Personal Vault is created automatically the first time you log into 1Password. This is the Vault that you will likely use the most, as it is where you should store information that only you should have access to. Examples of the types of information to store in a Personal Vault:

  • You administrator account username and password
  • Software license keys for software licensed directly to you
  • Database credentials

Shared Vaults

Shared Vaults are intended to store information that needs to be accessible by multiple people, but still securely stored and managed. Anyone can create a Shared Vault and share it with other 1Password users. Shared Vaults can be created through the 1Password webpage, the 1Password desktop app, or the 1Password mobile app. Examples of the types of information to store in a Shared Vault include:

  • Login credentials for a shared social media account for your group
  • Login information for a Shared NetID
  • API credentials that your whole team uses

Creating a Shared Vault

  1. Go to the Vaults list.
    1. Click on Vaults in the right-hand menu of the 1Password.com page.
    2. Expand the Vaults section of the 1Password desktop app.
    3. Click on Items in the 1Password mobile app.
  2. Click the plus sign (+) or New Vault button.
  3. Enter a Name and Description for your Shared Vault.
  4. Click Create or Create Vault. The new shared vault will be displayed in your Vaults list.

Adding and Removing People from a Shared Vault

Adding people to a Shared Vault will allow them to use information stored in that Shared Vault and add information to the Vault for other members of the Vault to use. Adding people to a Shared Vault must be done through the 1Password.com webpage.

  1. Go to https://tamu.1pasword.com/.
  2. Log in with your TAMU 1Password credentials.
  3. Click on Vaults in the right-hand menu.
  4. Click on the Vault you want to manage.
  5. Click the Share Vault button.
  6. Type in the name of the person you want to shared the vault with. Note: Shared Vaults can only be shared with individuals within the Texas A&M 1Password tenant. You cannot share vaults outside of Texas A&M or with someone at TAMU who is not using TAMU's 1Password tenant.
  7. Click Share.

The Vault and its contents will now be shared with that individual.

Managing People in a Shared Vault

You can manage the access an individual has within a Shared Vault you create. By default, people you share the Vault with will be able to view, Edit, Export, Print, and Share items within the vault. You can prevent individuals from taking certain actions on items within your Shared Vault, allow them to manage the Vault, or remove them from the Vault entirely.

  1. Go to https://1password.com.
  2. Log in with your TAMU 1Password credentials.
  3. Click on Vaults in the right-hand menu.
  4. Click on the Vault you want to manage.
  5. Click the Gear Icon to the right of the individual you want to manage.
  6. Remove check marks from actions you do not want the individual to be able to do for items in the Vault.
  7. Place a check mark next to Manage Vault to allow the person to manage the Vault.
  8. Click Remove from Vault to remove that individual from the vault entirely.
  9. The changes you make will be implemented as soon as you click outside the actions window. You will see the permissions change next to the gear icon to reflect any changed permissions.
