TAMU-Health Code42 CrashPlan Backup Service

Overview

Code42 CrashPlan offers the ability to backup any device anywhere across Texas A&M Health. Code42 CrashPlan is provided at no cost, by request, for all Texas A&M Health faculty and staff to use on their university-issued portable devices (laptop, mobile device, etc.) and desktop computers.

Request to be provisioned an account by submitting the enrollment form and provide your full name, TAMU email address and Universal Identification Number (UIN).

General Use Information

Basic Access and Use

  • After you are signed up, install the client on any major desktop operating system Windows, Mac or Linux.
  • Select data you want to continuously backup and start.
  • Restore from anywhere: From your desktop or from the web at https://www.crashplan.com/login.

General Guidelines

  • Backups occur every 15 minutes silently without interruption.
  • Anything in your profile can be backed up.
  • You can choose not to backup certain folders and files if so desired.
  • The following are not allowed to be backed up:
    • System and program files.
    • Virtual Disk and temporary internet files.
    • Network Drives – these are already backed up by Texas A&M Technology Services every night.
  • All files are encrypted.
  • Unlimited versions.
  • Files that are currently backed up and then accidentally deleted will be recoverable for up to 90 days.

Storage

  • Data is stored in the cloud.
  • Currently there is no limitation or quotas on the size of backups; however, the storage is not designed for excessive data that should be designated for a file server or another system. If you feel this is an issue, please contact Help Desk Central.

Using the Web Console

Enroll your device via the web console

  • Go to https://www.crashplan.com/login.
  • Sign in using your NetID@tamu.edu and NetID password.
  • Log in through SSO again using your NetID@tamu.edu and NetID password.
  • Accept the DUO notification. You will be prompted with, "Hello! Start backing up by downloading CrashPlan."
  • Click on App Downloads on the left side of the screen if you are not prompted with the hello message.
  • Download and install either the Mac OS X or Windows (64 bit) installer, depending on whether you have a Mac or a PC.
  • Enter your NetID@tamu.edu, NetID password, and the server address central.crashplan.com when prompted.
  • Continue through the prompts until finished.
  • Click on the new 'C' (Crashplan) icon in the system tray by the clock (lower right of screen on PC's, top right of screen on Macs).
  • Verify that your computer is backing up. Be aware that it scans your files before backing them up after installation.
  • If you have any trouble with this process, contact Help Desk Central for immediate assistance.
  • If your device ever stops backing up for any reason, you will get an email notification letting you know. Be sure to pay attention to these to ensure your data is always backed up.

Settings management and restorations via the web console

  • Go to https://www.crashplan.com/login.
  • Sign in using your NetID@tamu.edu and NetID password. You will be able to see all devices being backed up under your account.
  • To change your CrashPlan settings, click the gear icon and then click Edit.
  • To perform a web restore, select the Restored option on the right, then choose which files to restore. At the top of this window, you can modify dates/times of when you would like to restore or search for a particular file.

Configuring Backups

  1. Start the CrashPlan client and login with your NetID@tamu.edu and NetID Password.
  2. On the Welcome page, locate the device you want to configure and select Details.
    • By default your User Profile and all files/folders are selected.
  3. Once under the device, select Manage Files.
    • You will see all files currently selected for backup in a folder structure.
  4. By clicking on a folder, you can see what is within and select individual folders/files.
    • For example, if you want to only back up Documents you can deselect the other folder and leave Documents checked. Only folder/files that are checked will be backed up.
  5. Certain files and folders can be excluded by unchecking the designated file or folder.
    • By deselecting a folder from backup, no files within that directory will be backed up nor any new files added.
    • Excluding previously selected files results in those files being deleted from the backup archive. The now-excluded files will not be available for restoring.
  6. Once you have completed your selections, choose Save.
  7. You will then be returned to the device’s configuration page. The program will rescan your files and a backup will begin shortly after.

Restoring Data

  1. Open the CrashPlan client on your desktop.
  2. Select the Restore Files button next to the device you would like to recover from.
  3. Select the file or folder to restore and select Restore Files… at the bottom right.
  4. A window will pop up with options for restoring such as where to save restored files.
