Timesheet Overview & Resources

Overview

Timesheets are used by the Texas A&M University System (TAMUS) to record and/or track hours worked. Most employees enter time directly in Workday.  Some TAMU locations (Transportation Services, Utilities and Energy) use Kronos for time tracking. Hours entered in Kronos are submitted to Workday Support and uploaded through an integration during each biweekly payroll process.

Affected employees include:

  • All biweekly-paid (hourly) employees, including staff, student workers, temporary/casual workers, and Graduate Assistant Non-Teaching (GANT) employees.
  • Selected salaried employees who track time for projects, research efforts, disaster response activities, or similar purposes. Hours entered by salaried employees are for record-keeping purposes only and do not affect payroll calculations.

Time Entry Requirements

  • Student employees may enter and submit hours worked daily for manager approval.
  • Full-time and part-time employees may enter time daily but cannot submit a timesheet until their hours for the week equal their scheduled work hours based on FTE. Employees may ignore validation messages while entering and saving time throughout the week.
  • Workday requires full-time benefit-eligible employees to account for 40 hours each workweek. Hours may consist of regular work time, approved leave (vacation, sick leave, FLSA compensatory time, etc.), or leave without pay.
  • Part-time benefit-eligible employees (50% to 99% FTE) must account for their scheduled work hours before submitting their timesheet.
  • Employees are encouraged to submit timesheets on their last working day of the biweekly pay period, which is typically the second Friday of the pay period unless affected by a holiday schedule.

Important: If timesheets are not submitted and approved by payroll deadlines, employees may not receive payment on the expected payday.
