Microsoft Teams General Questions

Is there a limit to the number of members in a Team?

There can be up to 5000 people in a Team.

How are notifications set up for Team members?

Each Team member sets up their own notifications individually.

What is the Staff Notebook?

The Staff Notebook is a digital 3-ring binder using OneNote. You can save files in the Notebook as well as in the team Files tab. Additional information can be found in this YouTube video on OneNote.

How do I add a non-TAMU individual to my Team?

Enter the person's email address, and they will be invited to the Team as a guest.

Does the Teams calendar in the Me space sync with Outlook calendar?

Yes. The calendar in Me space is your Texas A&M Exchange calendar.

Who has access to a Teams channel calendar?

Everyone in the channel can access the channel calendar.

Are my Outlook calendar events added to Teams channel calendars?

No. Your Outlook calendar events will only be visible in the calendar in the Me space. The events will not be added to a channel calendar.

Do I need to create a private channel in Teams in order to have a meeting using Teams?

No. You can create a meeting without using a channel. This allows you to invite only those who need to attend the meeting.

What is the maximum number or amount of ... in Teams?

Limitations within Teams regarding the number of channels, number of files, size of messages, and much more can be found in Microsoft's documentation for Limits and Specifications for Microsoft Teams.

Why can an owner of a Team not see a particular channel?

Verify that the channel is marked to appear in the channel line up. If it is but not showing, you will need to contact Help Desk Central for assistance.

Can transcripts be saved for calls or video meetings using transcription?

Yes. Transcriptions are saved in the chat for that meeting in the Me space. The Me space is the column on the left of the Teams window showing Activity, Chat, Teams, Assignments, etc..

How do I save all of the messages from a particular contact?

You do not need to save messages from an individual contact. All messages will remain in your chat.

Why would I use Teams if I already have email and Canvas?

Teams and Canvas work together. Teams meetings are FERPA and HIPAA compliant, and Teams offers a rich collaboration and communication hub. Using Teams will allow you to reduce reliance on email for communication.

Can an individual take part in multiple Teams meetings are once?

yes. Your camera and mic will have to be dedicated to only one meeting, however. You will see both chats, however.

Can a chat be deleted?

You can Hide a chat, but you won't be able to delete it.

How long are chats kept before they are automatically archives?

That is determined by your organization. Currently, chats are retained indefinitely, but departments can request a custom retention policy if desired.

Are recipients notified when I enter something in a chat?

By default, no. If you use the @mention function, then the person, channel, or team you @mention will receive a notification.

If someone responds to a messages marked as Urgent, does that stop reminders being sent every two minutes?

Yes.

Is SharePoint comparable to FileX.tamu.edu?

No. Sharepoint is the background platform on which Teams runs. FileX is a non-storage application for secure file transfer.

Is there a cost for additional apps?

Depending on the specific app, yes.

Are the functions of Team limited when on a Surface tablet?

No, they are not.

Microsoft Teams Recording

Can Webinars be sent out to outside people?

Texas A&M's Microsoft Teams environment allows external users to attend Live Events and Webinars.

What restrictions by HR or permissions from participants might be required for recording a meeting, if any?

When a recording is started, a banner appears accoss the top informing everyone in the meeting is being recorded. They will have the option to leave the meeting or object at that time. Talk to your HR representative to find out about specific organization requirements beyond that notification.

Can attendees see your meeting notes?

Yes, attendees can see the meeting notes. 

Does each participant control the opportunity to turn on live caption; it is not controlled by the host?

Live captions are controlled by individuals.

Is recording controlled by the host, or is that an individual choice?

For recordings, only Organizers and Presenters can control recording. Attendees cannot control recording. Recordings are owned by the organizer.

Are you able to set up breakout rooms before the meeting, with room names?

Yes, if you are the Organizer you can create the rooms whenever you want. 

Does the organizer have the ability to record inside each of the breakout rooms?

Yes, the organizer can go start the recording or give the presenters the ability to record.

Does the attendance record show only if they attended or when they arrived and departed?

It will show everything, including when they arrived and departed.

Is the attendance record only available if you use the recording feature?

It is always available.

Microsoft Teams Calling

Do calls made in Teams use the Centrex phone system?

No. Teams calls are made using voice over IP (VOIP) specific to Teams. Currently this is only for Teams to Teams calls. Texas A&M Technology Services is exploring the possibility of adding full dial-tone phone functionality.

What is the purpose of "Saved" on the profile drop down?

The Saved section of the profile drop down shows items you have saved, such as Chat messages. If you are messaging someone, you can click the three dots next to one of their messages and click "Save This Message."

Can we only add people within our organization to our contacts to make Teams calls?

We also support Teams to Teams calls to other Teams organizations. For example, you can do a Teams to Teams call for someone in the AgriLife Extension Service.

Can you make other contact groups?

Yes. On the Speed Dial page there is a button for "New Group."

Calls to me in Teams are not behaving properly. Some calls are going straight to voicemail, and when I call out, calls only go to their phone. How can I find out what the problem is?

Issues such as this may be a degradation of the Teams service at the vendor level. Whenever there is a degradation affecting Texas A&M users, we try to post that degradation to https://italerts.tamu.edu.

Why do the phone and title information not appear for some people in Teams?

The Phone and Title information are populated from WorkDay. Individuals who are in a Team but not employed by Texas A&M will not have this data.

Microsoft Teams Live Events

What is the difference between a Live Event and a Webinar?

Live Events are intended for larger audiences with limited communication from participants. Think of it like a broadcast with a Q&A functionality. Webinars allow the creator to collect registrations, configure breakout rooms, disable attendee microphone and/or cameras, use more applications (not just slides, files, chat, video), and more. Does the moderator preview questions in Q&A before they're published?

Yes, new questions will show up under "New" and the moderator will be able to either Publish or Dismiss the question.

Can the window of a Live Event or Webinar be "popped out" into its own window?

Not at this time. To request or vote for new features, use the Microsoft Teams UserVoice site at https://microsoftteams.uservoice.com/.

Can the broadcast time of an event be extended after a live event has started?

You cannot change the time scheduled, however your event does not end when the time is over. The event will continue to be live until you end the live event.

Does the attendee report distinguish which countries are represented by attendees?

You might be able to discern the country from the UserAgentDetails in the report, but it is not a formal metric in the report.

Can the producer switch from one presenter to the next?

Yes. The producer controls what is in the live event.

Can live events be recorded and posted later?

Yes. That is one of the settings when creating the live event. The settings is in the "How will you produce your live event?" section.
