Can a SharePoint Site be viewed externally?

The default sharing for a SharePoint site created within SharePoint is "No External Sharing." If you need External Sharing, it is recommended that you use Teams. You can also contact Help Desk Central with your request, and a member of the SharePoint team can change the site's sharing settings for you.

Can we create public facing sites in SharePoint similar to Google Sites?

Yes. Contact Help Desk Central with your request to create a public facing SharePoint site. A member of the SharePoint team reach out to you to assist with setup of a public site.

What is the difference between sharing files via One Drive or via SharePoint?

The primary difference in sharing files via OneDrive or SharePoint is file ownership. Files shared via OneDrive will be deleted when you leave the organization. Files shared via SharePoint or Teams are owned by the organization or the Team. These files will continue to be available even if the person who initially uploaded the file leaves the organization.

Can students get access to a SharePoint Teams site?

If the student is a member of a Team with a SharePoint site, they will have access to that site and the files it contains.

Can you add, move, and delete files from within File Explorer, or does that have to be done only through the SharePoint web interface?

You can add, move, or delete files from within File Explorer as well as through the SharePoint web interface.

How do you delete a SharePoint site?

The owner of a SharePoint site will have a delete option available to them.

Why is no one able to see the changes I make to a file I downloaded from SharePoint?

When you download a file from SharePoint, a separate copy is created. Changes made to the downloaded copy are not synchronized with the copy in SharePoint.

What does the "Add shortcut to OneDrive" button do?

Clicking the Add shortcut to OneDrive button will create a shortcut to the SharePoint folder within your OneDrive. You will have offline access to the files in that folder, and changes made will synchronize with SharePoint the next time your computer is connected to the network.

What does the Sync button in SharePoint do?

When you use the Sync function within a SharePoint folder, that folder and its contents will be synced to your local computer as a new location. This will provnamee offline access to the files in the folder. Changes made to these offline files will be synchronized with the online version of those files the next time your computer is online and can communicate with SharePoint.

Should I use the Sync button or should I use the Add shortcut to OneDrive button?

While both options provnamee local, offline access to the files from SharePoint, the Sync function is computer specific. Files synced on one computer will not be synced on a different computer. If you use multiple computers, this can be problematic. Adding a shortcut to your OneDrive will make the files available to all devices from which you access OneDrive. This will make it much easier to access and make changes to files from multiple devices such as a laptop, desktop, or tablet.

Can documents in SharePoint be worked on in the same manner as documents in a Google Drive?

Yes. Once a file has been uploaded to SharePoint, the members of the site will have access to the file and will be able to edit and work on the file in real-time. They will be able to see changes others are making to the file while they work on it.

If I upload a file to SharePoint, does that file now exist both in SharePoint and my computer?

Yes. However, if this is a file that you will be collaborating with others on, you should delete the local copy of the file after uploading it to SharePoint. You can then sync the SharePoint copy of the file to your computer. Any changes made to the file in SharePoint will be synchronized to the local file. Can SharePoint be used as a photo repository?

Yes. You can create a Document Library to store pictures.

Will SharePoint be used campus-wnamee?

SharePoint is available to everyone at Texas A&M University.

Are departments required to use SharePoint?

There is no campus-wnamee requirement to use SharePoint.

Can only Team members view documents in a Teams SharePoint site, or can everyone in the organization view your files?

This depends on whether you choose Public or Private when creating the Team. If you choose Public, then anyone at Texas A&M can see the site and its files. If you choose Private, only team members will be able to see the site and its files.
