ORCA - How to edit roles and add sections for existing TAs, TA Leads, Course Designers, or Graders

Overview

Course Associate Roles that an individual may have and may be added to your Canvas course using the Online Request Course Administration (ORCA) website tool includes the following:
●    Course Designer 
●    Grader 
●    Grade Submitter 
●    Learning Assistant 
●    Teaching Assistant 
●    Lead Teaching Assistant 

considerations:
●    If you are not sure which role is appropriate to use, please reference their Definitions.
●    All individuals assigned a Course Associate in Canvas are required to have completed FERPA and Information Security Awareness training in TrainTraq. 
●    Enrollments added through Compass (Student Information System) cannot be altered here.
●    You may consider reaching out to your designated department scheduler or course coordinator to remove or change any roles given to the individual using Compass (student information system). If you are not sure who this is, please contact the Office of the Registrar or email scheduling@tamu.edu

How to edit a role to an existing Course Associate in ORCA

  1.  Go to https://orca.tamu.edu/ and click on Log In in the upper right corner.
  2.  Click on Enrollments.

  3.  If the individual you are trying to add appears in this list, Select Edit located under the "Actions" column.

  4.  Click on the dropdown menu and select the desired role for the individual then click Save.

  5.  If you see the message “Roles with sections enrolled through Compass cannot be changed. Add a new role instead”, please reference steps below on how to add a role for Course Associates in ORCA

How to add a role to an existing Course Associate in ORCA

  1.  Go to https://orca.tamu.edu/ and click on Log In in the upper right corner.
  2.  Click on Enrollments. 
  3.  If the individual you are trying to add appears in this list, Select Edit located under the "Actions" column.
  4.  Select Add Role.

  5.  In the new row created in the Role column. click on the dropdown menu and select the desired role.

  6.  In the new row, click on Search Sections to display your courses.

  7.  Choose which section they need to be added to by clicking on the box next to the course name . Scroll down and click "Select".

  8.  Select Save to submit.

How to add or edit sections for an existing Course Associate in ORCA:

  1.  Go to https://orca.tamu.edu/ and click on Log In in the upper right corner.
  2.  Click on Enrollments. 
  3.  If the individual you are trying to add appears in this list, Select Edit located under the "Actions" column.
  4.  In the desired row, click on Search Sections to display your courses.

  5.  In order to add sections, choose the section needed for the individual and click the box next to the desired course. Scroll down and click Select.

  6.  In order to remove sections, choose the section needing to be removed and click on the box next to the course to deselect it. Scroll down and click Select.

  7.  The individual's status will appear on the "Enrollments" list page.

    If after 24 hours, the individual's status is shown as Ready and they do not appear in your People list in Canvas, please email support@instructure.com to initiate a request. Please include the CRN, user's UIN, and the date/time you added them through ORCA.
