Google Workspace for Education
My Drive
My Drive lets individuals securely store, access and share personal files.
- Eligibility: Texas A&M students, faculty and staff have access to Google My Drive.
- Capacity: Full information regarding storage quotas can be found on the IT website.
Undergraduate students and staff: 25 GB
Graduate students and faculty: 100 GB
- File Ownership: Google My Drive is for individual-owned files where ownership of files is tied to your individual account. All files are deleted when you leave the university, including files that you’ve shared with others.
- Restrictions: Both FERPA and HIPAA data can be stored in Google at Texas A&M.
- Cost: My Drive is offered at no cost to students, faculty and staff.
- Data Retention:
- Student My Drive files are deleted two years after a student leaves the university. Students are notified in the months before their files are deleted.
- Employee My Drive files are deleted 30 days after an employee leaves the university. The employee’s manager is notified and responsible for updating the ownership of any files that need to be retained.

Shared drives
Shared drive files belong to the team instead of an individual. Even if members leave, the files stay in the shared drive so your team can keep sharing information and work anywhere, from any device.
- Eligibility: Employees at Texas A&M can create Shared Drives. Employees can add students to Shared Drives if needed.
- Capacity: 25 GB
- File Ownership: Google Shared Drive is for team-owned files where ownership of files is tied to a team. Files will remain available even when the creator/owner leaves the team or university.
- Restrictions: Both FERPA and HIPAA data can be stored in Google Shared Drives at Texas A&M.
- Cost: Shared Drives are offered at no cost to faculty and staff. There is a charge-back process if additional storage is needed.
- Data Retention: Files only deleted upon request

Microsoft for Education
Microsoft OneDrive
OneDrive is your personal hard drive in the cloud. Store, sync and share your work online with 250GB maximum file size.
- Eligibility: All full-time employees and students of Texas A&M University (parts 2, 9, 10, 23, 28) and Texas A&M Galveston (part 10) have access to Microsoft OneDrive.
- When a campus member leaves Texas A&M they lose access to Microsoft 365.
- Students: NetID remains active for two years after graduation or withdrawing from Texas A&M.
- Former Employees: NetID is deactivated immediately on the last day of employment with the university.
- Retired Employees: Retain their NetID as long as they live, however their Microsoft A5 license is downgraded to an A1 license.
- Capacity: 5 TB
- File Ownership: Microsoft One Drive is for individual-owned files where ownership of files is tied to your individual account. All files are deleted when you leave the university, including files that you’ve shared with others.
- Restrictions: Both FERPA and HIPAA data can be stored in Microsoft 365. Texas A&M University has a BAA in place with Microsoft and the data is encrypted both in transit and at rest.
- Cost: Microsoft OneDrive is offered at no cost to students, faculty and staff.
- Data Storage/Retention: OneDrive data is preserved until your NetID account is deleted. An account, and its associated data, can be recovered for up to 30 days after the account has been deleted.
- Student OneDrive files are deleted two years after a student leaves the university. Students are notified in the months before their files are deleted.
- Employee OneDrive files are deleted 30 days after an employee leaves the university. The employee’s manager is notified and responsible for updating the ownership of any files that need to be retained.
- Retirees retain access to their files for as long as they live.

Microsoft SharePoint
A web-based, collaboration tool that supports sites for every project team. Microsoft SharePoint lets you share files, data, resources and more.
- Eligibility: All full-time employees and students of Texas A&M University (parts 2, 9, 10, 23, 28) and Texas A&M Galveston (part 10) have access to Microsoft SharePoint.
- Capacity: Each SharePoint site can hold up to 25 TB. There are no limits on the number of SharePoint sites that can be created.
- File Ownership: Microsoft SharePoint is for team-owned files where ownership of files is tied to a team. Files will remain available even when the creator/owner leaves the team or university.
- Restrictions: Both FERPA and HIPAA data can be stored in Microsoft 365. Texas A&M University has a BAA in place with Microsoft and the data is encrypted both in transit and at rest.
- Cost: Microsoft SharePoint is offered at no cost to students, faculty and staff. Retirees only have SharePoint online access with their A1 license account.
- Data Storage/Retention: SharePoint data is never deleted by IT administrators, only manual deletions by users/owners will remove data. Deleted data can be recovered from the SharePoint Recycle Bin (first and second stage recycle bins) for up to 93 days.
