How large is the space available to me in Texas A&M's OneDrive?

Each Texas A&M University user gets 5 TB for their OneDrive.

Will OneDrive accounts be created automatically, or do we have to request the account be created?

Yes, OneDrive accounts are automatically created for all Texas A&M University faculty, staff, and students.

What email will be used for our OneDrive accounts?

Your Texas A&M OneDrive account will use your NetID@tamu.edu email address, as well as any email addresses used by your Texas A&M Exchange account such as NetID@exchange.tamu.edu.

What is the difference between OneDrive and OneDrive for Business?

OneDrive is the personal, retail offering from Microsoft and is where you would store personal files, such as for your family. it is a part of a personal (non-university) Microsoft 365 subscription. It is not tied to Texas A&M University. 

OneDrive for Business is for enterprise or education. The data is owned by Texas A&M University and has additional data protections. For example, Microsoft cannot scan the data for advertising purposes. Additionally, Texas A&M's OneDrive for Business is HIPPA and FERPA compliant and can be used to store data containing protected data.

Will we need to re-share those folders with others both internally and externally after moving them into OneDrive from Syncplicity?

Yes. You will need to re-share those folders both internally and externally of TAMU.

Will collaborators outside of Texas A&M need to have a OneDrive account in order to access files that have been shared?

Yes. They will need a free Microsoft account. For example: An external person with a Gmail account can sign up for a free Microsoft account using their Gmail address. When a OneDrive file is shared with them, an email invitation will be sent to their Gmail address to see that shared OneDrive file.

Should I move my documents to OneDrive instead of Google drive?

Google Drive will continue to be available to Texas A&M University faculty, staff, and students. Be aware Google Drive cannot store HIPPA data, while OneDrive and SharePoint can.

Is there anyone else that can see your OneDrive files?

Only individuals you have shared files with are able to see those files. Your other OneDrive files are not visible to anyone else.

If multiple people are working in the same cloud document, do they run the risk of creating a duplicate of the file?

No. Collaborative edits to cloud documents appear in real-time. Changes you are making will show up immediately for the other person, and changes they make will show up for you.

Will I be notified when someone access a shared file to prevent file duplication?

Can a OneDrive be created for use by all members of an office and replace using a shared drive? Would we need to get our IT department involved?

You should use Teams for sharing files as a group.You can create a Team and set up at least 2 owners of the Team. All members of your off can be an owner of the Team. All files saved to the Team are shared with all Team members. Additionally, you will have access to the other collaboration tools in Teams, including chat posts, meetings, calendar and more. Is there a time frame during which you can restore files that have been accidentally deleted?

Yes, you can restore files for 30 days from the recycle bin.

How long will OneDrive access and documents be available for TAMU students, faculty, and staff after they leave the university?

Faculty and staff will lose access as soon as they leave the university. Students will retain access for two years.

When a faculty or staff member leaves the university and they lose access to OneDrive, how long are their files available for recovery by supervisors, administrators, etc.?

Files will remain recoverable for 30 days. Departments have the ability to request an extension to this time. Requests to extend a NetID account should be sent to identity@tamu.edu

Do I need to move existing folders into the OneDrive folder in order to save them with OneDrive on a Mac?

Yes. OneDrive for Mac only syncs folders and files that are located in the OneDrive folder. For additional information, please see Microsoft's support documentation.

Will Teams folders appear in OneDrive?

Teams folders will be available via the OneDrive web interface, but will not be available in the OneDrive desktop interface.
