Exchange - Sharing Calendars

Overview

Sharing calendars allows others to know when you are available for meetings or when you are out of the office. Sharing your calendar will differ depending on if your account has been migrated to the cloud or not.

Sharing your calendar with other Exchange users

To share your calendar with another Exchange user:

Outlook for Windows

  1. Go to your calendar.
  2. Click Share Calendar from the Home ribbon.
  3. Select the calendar you want to share.
  4. Click Add... on the Permissions tab.
  5. Add people to share your calendar with either by
    1. Searching for them in your address book, selecting them and clicking Add, or
    2. Typing their email address into the Add box.
  6. Click OK.
  7. Select the individual in the Permissions tab.
  8. Select the level of permissions to give this individual.
  9. Click OK.

A calendar sharing invitation will be sent to the individual(s) you shared the calendar with. Once they accept the invitation, they will be able to see your shared calendar in their calendar list.

Outlook for Mac

  1. Go to your calendar.
  2. Right-click the calendar you want to share.
  3. Click Sharing Permissions.
  4. Click the + (plus) symbol.
  5. Search for the person you want to add bey typing in their name or email address.
  6. Select the person from the search results.
  7. Select the level of permissions you want them to have.
  8. Click Add.
  9. Click Done.

Sharing your calendar with non-Exchange users

To share your calendar with non-Exchange users, you will need to publish your calendar. This is done through Outlook for the web at https://outlook.office.com

  1. Go to on https://outlook.office.com.
  2. Click the Gear icon in the upper right.
  3. Click on View All Outlook Settings.
  4. Click on Calendar.
  5. Click on Shared Calendars.
  6. Select the calendar you want to publish under Publish a calendar.
  7. Select the permissions you want to allow to that calendar for those who will access it.
  8. Click Publish. Two links will be presented.
    1. HTML - The HTML link can be shared to allow your shared calendar to be viewed as a web page in a web browser.
    2. ICS - The ICS link can be shared to allow your shared calendar to be added to calendar applications such as Outlook calendar, Apple calendar, Google calendar, etc.
