Adobe Sign - Useful Email Inbox Rules

Overview

Information from Adobe Sign, including requests for signature, updates on signed documents, etc. will come from the address adobesign@adobesign.com. To prevent these messages from becoming lost among other email you receive each day, you may want to set up a series of folders and email rules within your mail client to collect and organize these messages. You are not required to use folders and and email rules exactly as described here or at all, but you may find it easier to track your Adobe Sign messages if you do.

Folders

Before setting up email filtering rules, you will want to set up inbox folders for messages to be filtered into. The process given below will create a parent folder caller Adobe Sign and a series of sub-folders for new requests, documents you have signed, completed documents you have requested signatures for, and reminders.

  1. Right-click your Exchange account's Inbox and select New Folder.
  2. Enter Adobe Sign for the folder name, then hit Enter.
  3. Right-click the Adobe Sign folder you just created and select New Folder.
  4. Enter New Requests for the folder name, then hit Enter.
  5. Repeat steps 3 and 4 to create folders named Completed, Done Signing, and Reminders.

After you are done, you should have an Inbox sub-folder named Adobe Sign which contains four folders, Completed, Done Signing, New Requests, and Reminders.

Rules

Once you have set up folders for your Adobe Sign messages to be filtered into, you can create mail rules to filter Adobe Sign messages into the appropriate folders. The rules described here are configured to use the folder structure described above. You can modify the rules as needed to meet the folder structure you are using, if any. The instructions below are written for Outlook for the Web, but the criteria used to filter each type of message can be used to create a rule in your preferred email client.

There are six email rules we recommend creating - one rule each for:

  • Requested Signatures
  • Confirming your signature
  • Notification that you have signed
  • Signature completion
  • Document requesting signature has been created
  • Reminder that a document needs your signature

The instructions below are for creating a rule for requested signatures.

  1. Click on your Inbox.
  2. Click the three dots in the upper right of the screen.

  3. Click on Rules, then click on Manage Rules.
  4. Click on Add New Rule.

  5. Enter a name for the rule such as Signature Requests.
  6. Click on Select a Condition and then select Subject Includes.
  7. Enter signature requested in the text field and hit Enter.

  8. Click Add another condition.

  9. Click on And, and then select From.
  10. Enter adobesign@adobesign.com in the text field and hit Enter.

  11. Click on Select an Action, and then select Move To.
  12. Click on Search for Folder, and then select Move to a different folder....
  13. Select the folder named New Requests below the Adobe Sign folder.

  14. Leave a check mark next to Stop processing more rules.
  15. Click Save.

Repeat steps 4 through 12 for the other five rules. The conditions and values to filter on for all six rules are as follows:

Once these rules and folders have been put into place, messages from Adobe Sign should be filtered into the relevant inbox folders in order to better organize your Adobe Sign requests.
